South Africa Sun - Our Business Terms & Conditions

Contract
A contract begins when both parties agree on holiday arrangements and give payment details for confirmation procedures to begin.

Consumer Protection
South Africa Sun, LLC uses UK Air Ticket Consolidators who are ATOL bonded. Our UK clients are fully protected with ATOL bonding.

Cancellation Policy
All hotels have cancellation clauses and we will specify the cancellation terms of each hotel used. Once the terms are disclosed, the holidaymaker will adhere to those policies. South Africa Sun bears no responsibility for any costs incurred by cancellations after bookings have been confirmed.

Substitution
We reserve the right to substitute any property that is not available with either comparable or higher standard accommodation.

Deposit
The full cost of any flights are charged at the time of the booking. A detailed invoice will then be sent to you requiring a non-refundable deposit of 25% of the balance. The balance will be due 60 days prior to departure. If your booking is made within 60 days of departure, payment in full is required upon booking.

Travel Insurance
We strongly urge our customers to take out travel insurance at the time of booking to cover any cancellation costs due to unforeseen circumstances. South Africa Sun is happy to quote for insurance.

Calculation of Bills & Service Delivery Policy
All hotels charge in Rand. (South African Currency). The Rand fluctuates daily and the bill will be converted from Rand to Pounds twice. Once when the original booking occurs to give you an estimate of what the total bill will be. The second time will be 70 days prior to departure when the balance is due. At this time, the total bill is recalculated and the total amount due will be determined. We will then subtract the deposit paid and send an invoice that will be due upon receipt. This is the balance due 60 days prior to departure.

Payment
After the final invoice is sent out, payment is due upon receipt. On receipt of your final payment we will deliver your tailored ‘Care Package’ which includes your e- ticket flight details, navigation document, relevant tourist and road atlases and all necessary vouchers for accommodation and car hire. You will receive this within 14 days of your departure date. If payment is not received, the deposit is forfeited and holiday is considered to be cancelled and the accommodation providers, car rental companies and any airline companies will be duly notified. Any monies due as a result of this cancellation will be the responsibility of the customer.

Credit Cards
We accept payment using all major credit cards. For Visa and Mastercard we charge a 3.9% service charge and for American Express a 5% service charge. For personal cheques and bank transfers (often now a service provided by internet and telephone banking) no service charge is levied.

Privacy Policy
If you book a holiday through South Africa Sun you can be assured that your contact/email details will be held in strict confidence.  This would be initial contact information - your name, address, phone, email, Skype ID and other similar information you would have given us with your first email/telephone enquiry.

  • All Credit Card information we may obtain for payment is never stored but always shredded immediately after payment is taken.  We have a strict policy which prohibits any storage of clients credit card data on site or on any computer system we may use.

South Africa Sun, will under no circumstances share any of your financial information with any third party.

How we protect and store personal information
We use the term "personal information" to describe information that can be associated with a specific person and can be used to identify that person. We do not store and process your personal information on our computers.  We protect it by maintaining physical and procedural safeguards and we can confirm that we are in compliance with the UK Payment Card Industry Data Security Standard (PCI DSS). We authorise access to personal information only for those employees who require it to fulfill their job responsibilities processing your holiday requests.
